Planning for a Successful Class Reunion

35th Reunion of BComm Class of '70Class reunions are a great opportunity to catch up with old friends. While in some cases for special reunion events are organized by faculties, most reunions are planned by members of the class for their peers in recognition of significant milestones i.e. 10th, 20th, 25th & 30th.

Critical path for organizing a reunion or event:
Major events require that you contact the Alumni Office many months ahead of the actual event.
6 to 8 months prior to the event
    • Contact the Alumni Office about your intent to host a reunion.
    • Request class lists and mailing labels from the Alumni Office.
    • Discuss matters of financial and administrative assistance with the Alumni Office.
    • Send out an initial communication to your class to let them know of your intent to host a reunion and call for volunteers to establish a committee to organize the event.
    • Establish a committee of volunteers to organize the event.

8 to 10 weeks prior to the event
    • Set the date, time and type of event.
    • Secure the venue and determine such details as time, cost etc.
    • Contact speaker or special guest (if applicable)
    • Distribute mailing to classmates and submit promotion information to Alumni Office for inclusion in newsletters and on the alumni website.

7 to 8 weeks prior to the event
    • Contact caterer (if necessary)
    • Confirm mailing list.
    • Determine the number of volunteers needed for the event and who will help to contact classmates by telephone.
    • Work with the Alumni Office to make travel arrangements for speaker or special guest (if applicable), assemble a package of travel information for the guest speaker.
    • Determine invitation distribution options (Canada Post or e-mailing).

6 to 7 weeks prior to the event
    • Prepare and distribute invitations.

4 to 5 weeks prior to the event
    • Confirm the number of volunteers needed.
    • Confirm details with the caterer and with the host venue.
    • Establish a phone tree for calls to classmates.
    • Contact the Alumni Office for alumni pins, keychains and information kits for attendees.
2 weeks prior to the event
    • Committee meets to discuss and finalize the details.

1 week prior to the event
    • Reminder phone calls to encourage attendance.

Day of the event
    • Greet everyone, know your program for the day/evening, recognize your volunteers and thank them for their efforts.
    • Distribute update and evaluation forms to your classmates

Following the event
    • Meet with the organizing committee to clear up outstanding invoices, and discuss recommendations for future reunions, etc.
    • Contact Alumni Office with the evaluation of the event and any photos that could be published in alumni publications or on the web.
